The PROGRAM COORDINATOR: Community Events is a member of the team at VSA arts of Georgia. In our fast paced environment that is highly responsive to the community, it is necessary for all team members to be prepared to be flexible and prepared to respond to the needs of other team members in a pro-active manner that supports the mission of the entire organization.
The Program Coordinator is the chief contact between VSA arts of Georgia and the Venue and Agency partners in the Community Events program. The Program Coordinator reports directly to the Executive Director, and is responsible for the organization's consistent achievement of its mission as it pertains to outreach relating to the Community Events program. Job responsibilities include (in no particular order):
1. Implementation of all the steps and duties necessary to achieve the Community Events Program goals as set by the Executive Director including but not limited to:
a. Weekly Update email Newsletter
b. Fax communications
c. Maintenance of the Community Events section of the VSA arts of Georgia Website
d. Events Calendar
e. Events Hotline
f. Database management
g. Responding to and scheduling event requests
2. Develop and implement Community Events master schedule
3. Maintain existing relationships with program and community partners (venues and agencies)
4. Recruit additional agency and venue partners on an ongoing basis and according to the growth goals set by the Executive Director and Program Coordinator.
5. Conduct regularly scheduled program orientation meetings that train agency contact personnel in relevant, appropriate Community Events program procedures and protocols.
6. Maintain all communication with program partners.
7. Oversee program policies and disciplinary procedures. Implement probation policy when necessary.
8. Manage the Community Events application process in consultation with the Executive Director and according to established and published criteria.
9. Coordinate development and revision of guidelines and application materials, outreach plan and marketing, and review process as needed.
10. Conduct outreach activities and assist agencies interested in the program with the application process.
11. Represent the mission and vision of VSA arts of Georgia as a liaison with regional cultural, scholarly and philanthropic institutions and organizations, as well as with the general public by organizing and attending meetings, making presentations, and participating in events where a Community Events presence is desired and appropriate.
12. Participating in ongoing program development, implementation, marketing and evaluation of the Community Events program.
13. Volunteer management for the organization including but not limited to recruiting, training and scheduling administrative, special event and Community Events volunteers.
14. Support all general organizational initiatives including attending/working during evening activities such as the monthly “First Thursday” reception, the annual fund-raising event and occasional evening meetings.
15. Working on special projects as assigned by the Executive Director.
16. Perform other duties, as assigned by the Executive Director.
